Administration Manager, Nicosia – ADM/04/24

Our client, a CySEC regulated investment services firm and family investment office, is currently looking to enhance its team in Nicosia.The Administration Manager coordinates the Company’s overall administration system and general workflows. Provides support to the CEO and ensures daily office tasks are completed.

Position’s Duties and Responsibilities

  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
  • Assisting in Recruitment process – ensuring the proper induction of any new recruitment • Creating personnel folders for new hires.
  • Maintaining all policies and procedures manuals.
  • Identifying opportunities to improve administrative policies or objectives.
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
  • Update records on employees benefits.
  • Manage schedules and deadlines.
  • Travel & Accommodation Arrangements.
  • Diarize meetings for the CEO.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
  • Receiving invoices & arrange payments.
  • Monitor costs and expenses to assist CEO and FInancial Controller in budget preparation and management.
  • Oversee facilities services.
  • Guiding the organization’s activities, Event planning.
  • Assisting in Presentations.
  • Managing and maintaining department databases.
  • Performing clerical accounting and general office duties as needed.
  • Cash Register.
  • Developing strong relationships with cross-functional teams and departments in Cyprus and overseas.
  • Ensure operations adhere to policies and regulations (leaves & other).
  • Liaise with vendors/providers.
  • Provide administration assistance to all employees (CY).
  • Keep abreast with all organizational changes and business developments.

Position’s Requirements

  • In-depth understanding of office management procedures and departmental and legal – policies.
  • Familiarity with financial and facilities management principles.
  • Proficient in MS Office.
  • An analytical mind with problem-solving skills.
