Head Of Back Office, Nicosia – HOB/04/24

Our client is a CySEC regulated investment services firm and family investment office. The Back Office serves as the backbone of the company, responsible for managing day-to-day operations and facilitating the smooth functioning of front office personnel in their investment and client-facing roles. While not directly involved in revenue generation or client interaction, the Back Office plays a critical role in supporting front office activities. Key functions include daily data entry, performance reporting, client reporting, regulatory compliance (transaction reporting), record keeping, accounting, and providing support to other teams.

The Head of Back Office plays a crucial role in ensuring operational efficiency and adherence to regulatory requirements, contributing to the overall success and reputation of the company.

Position’s Duties and Responsibilities

  • Provide continuous guidance and support to Back Office team members regarding their assigned tasks and responsibilities.
  • Ensure accurate and effective execution of day-to-day operational processes.
  • Manage a small team, delegating tasks appropriately and maintaining efficient coverage at all times.
  • Supervise and review daily activities of team members, fostering clear communication and collaboration within the team.
  • Address and resolve any problems or issues that may arise, establishing proper procedures and checks to ensure effective resolution.
  • Evaluate and, if necessary, reengineer existing processes to enhance efficiency and strengthen controls.
  • Take accountability for timely and accurate delivery of reports to other teams within the organization.
  • Facilitate training for Back Office team members on relevant software tools and other applications as needed.
  • Participate actively in all discussions with internal and external stakeholders concerning potential changes to processes and/or new operational implementations. Provide data/information to other departments, and provide guidance and assistance to them on how to navigate the operating system.

Position’s Requirements

  • Prior experience in a similar position within the financial services industry.
  • Thorough knowledge of English and CySEC regulations governing Cyprus Investment Firms (CIFs).
  • A Bachelor’s Degree in Finance, Business, Accounting, or a related field is desirable but not mandatory.
  • Demonstrated leadership abilities, organizational prowess, and effective communication skills.
  • Strong problem-solving capabilities and a proactive approach to addressing challenges.
  • Familiarity with industry-standard software tools and platforms used in Back Office operations is advantageous.
  • A commitment to maintaining regulatory compliance and upholding the highest standards of professionalism and integrity is essential.
