Office Administrator, Nicosia – OFA/03/24

On behalf of our client, an established Foundation, we are currently looking to recruit an Office Administrator for their team in Nicosia.

The Office Administrator is responsible for managing the daily administrative operations of the office. This role involves a wide range of duties, including scheduling meetings, managing office supplies, maintaining office equipment, and ensuring that the office environment is organized and efficient. The Office Administrator acts as the main point of contact for office-related queries and plays a key role in supporting staff, managing office services, and enhancing overall office productivity.

Position’s Duties and Responsibilities

  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Coordinates meetings, appointments and directing various administrative projects.
  • Attends meetings and takes meeting notes.
  • Liaises with internal and external units to carryout job tasks.
  • Provides front desk coverage; welcoming visitors.
  • Answers the telephone.
  • Drafts reports and correspondence (e-mail, letters, packages etc.).
  • Keeps stock of office supplies and place orders when necessary.
  • Manages travel arrangmenets for the management – flight tickets, accommodations; audits/processes travel expense claims.
  • Manages agendas for the management.
  • Handles event planning for meetings; assists in the preparation and holding of events, such annual lectures and conferences.
  • Coordinates office activities and operations to secure efficiency and compliance to company policies.
  • Submits timely reports and prepare presentations/proposals as assigned.
  • Responsible for the books sale; communication with institutions and bookstores.
  • Maintains records for the books; updates the stocks accounts; stock taking.
  • Communicates with the customers via emails and telephonic calls; answer their queries regarding availability of books.
  • Assists colleagues whenever necessary.
  • Works closely with the Office Clerk.
  • Supervises and coordinates the external cleaning staff.
  • Performs any other related duties as assigned by the management.

Position’s Requirements

  • Bachelor’s degree.
  • Previous management experience in an office setting.
  • Proficient with Microsoft Office software and phone systems.
  • Fluent in the Greek and English languages.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Excellent verbal and written communication skills.
